Edit Tax in an Existing Order

You can adjust the sales tax on an existing sales order or quote to handle one-off customer exemptions, enter a custom tax percentage or flat amount, or apply a tax preset. Changes made directly to an invoice apply only to that specific document.

Open the invoice

From Sales > Sales Orders (or Sales > Quotes), open the order you want to update.

  1. In the Invoice Auto Managed (or Invoice) section of your sales order, double-click the invoice row to open it.

    If you are updating a quote rather than a sales order, double-click the invoice row on the quote to open the same Edit Invoice dialog.

The Edit Invoice dialog opens. On sales orders, the Auto Managed badge indicates that YoPrint keeps invoice items synced with order changes. When you override the tax on an auto-managed invoice, YoPrint preserves your custom tax rate: if you add items or change quantities on the order later, YoPrint recalculates using your override rather than reverting to automatic calculation. Invoices on quotes offer the same tax selection choices.

Choose a percent

You can override automatic tax calculations or saved presets by entering a custom percentage directly on an invoice.

  1. Click the Select Tax dropdown menu.

  2. Select Manual Tax Percentage (%) Amount.

    Selecting Manual Tax Percentage (%) Amount turns the Shipping Taxable switch off by default. Turn Shipping Taxable on if you want your custom tax rate applied to shipping charges as well as line items.

    You can also choose other tax options from the dropdown:

    • Auto tax: Calculates tax automatically based on your shop's nexus and customer address. See Automatic Sales Tax.
    • Manual Tax Value ($) Amount: Lets you enter a flat currency amount for tax instead of a percentage.
    • Tax Free: Applies a built-in 0% tax rate to the invoice.
    • Tax Preset: Applies a pre-configured rate saved in your settings. See Set Up Tax Presets in YoPrint.
  3. In the percentage field that appears beside the dropdown (showing % 0), type your custom tax rate.

  4. Click Save.

You can click Save to keep the invoice dialog open, or click Save and Close to save your changes and exit the dialog.

The invoice updates with the new tax amount. For example, an 8% tax on a $160.00 subtotal adds $12.80 in tax, bringing the grand total to $172.80.

Remove tax from this invoice only

If a specific order qualifies for tax exemption, you can remove sales tax from that invoice without altering the customer's permanent account settings.

  1. Click the Select Tax dropdown menu.

Selecting Tax Exempt displays helper text stating Customer is not tax exempt. This is a reminder that the customer's permanent account profile remains non-exempt, while this specific invoice will be tax-exempt. Because no tax is being calculated, the Shipping Taxable and Calculate Taxes Before Discount switches are automatically hidden.

  1. Click Save.

The tax on this invoice becomes $0.00. This change applies only to this specific invoice; the customer's account profile remains non-exempt.

To exempt a customer from sales tax across all future orders automatically, mark them tax-exempt in their profile settings. See Automatic Sales Tax.

Leave Taxable locked

You do not need to change this setting manually. When an invoice has the Auto Managed badge, YoPrint manages line items automatically, and the Taxable checkbox on individual line items is locked. Hovering your cursor over the checkbox displays the tooltip: You've enabled automatic invoice management. Updating taxable status is disabled.

Invoices that are not auto-managed (such as quote invoices) allow you to check or uncheck the Taxable box for individual line items manually. Unchecking Taxable on a line item removes its price from the taxable subtotal, so tax applies only to the remaining taxable items on the invoice.

If you need line-level tax control on an auto-managed sales order, you can set the product or service to non-taxable in your catalog before adding it, or click Manage Auto Invoice (or Auto Invoice on the sales order) to turn off automatic invoice management and unlock individual line-item checkboxes.
