Import Customers Using CSV

In this article

Use a CSV file to add customers and their contact and address details in bulk. Download the customer template, fill it with your records, and review the rows before importing.

Prepare the customer file

Open Sales > Customers.

  1. Click Import Customers. The Import Portal opens in a new tab.

    Open the customer import portal

  2. Click Download template.

    Download the current customer template

Replace the example row with your customers. Use one row for each customer and keep the header row. The template includes columns for one primary contact and one billing and shipping address. If a customer has multiple contacts or locations, add the primary contact in the CSV file and add additional contacts in YoPrint after importing.

The example in this guide uses Willow Community Arts and Northstar Running Club.

Column What to enter
customer_name The business or individual’s name. This is required and is used to find existing customers.
customer_website The customer’s website, including https://.
customer_internal_notes Notes for your team about this customer.
customer_tax_exempt Enter TRUE if the customer is exempt from sales tax, or FALSE if they are taxable. This field is required.
customer_resale_number The customer’s resale certificate number, if applicable.
contact_first_name, contact_last_name The primary contact person for this customer.
contact_email That contact's email address.
contact_phone, contact_fax The contact’s telephone and fax numbers.
contact_phone_country, contact_fax_country The corresponding two-letter country code, such as US.
billing_address, shipping_address A full address in a single field. Leave this blank if you use the separate address columns below.
billing_address1, shipping_address1 The street address.
billing_address2, shipping_address2 A suite, unit or other second address line.
billing_city, shipping_city The city.
billing_state, shipping_state The state or province.
billing_postcode, shipping_postcode The postal or ZIP code.
billing_country_code, shipping_country_code The two-letter country code, such as US.

Use separate address columns (billing_address1 , billing_city , and so on) so YoPrint places each address component into its specific field. If you enter a full address into billing_address  or shipping_address , leave the separate columns blank.

Leave optional details blank when you do not have them. For a contact, enter their first name and a valid way to reach them. Keep postal codes and telephone numbers as text in your spreadsheet so leading zeros are preserved.

When an address line is filled, city, state, postcode and country are required. Our example uses 1001 3rd Ave, Suite 200, Seattle, WA, 98121, US as separate billing values.

Save your working spreadsheet separately, then save the import copy as UTF-8 CSV.

Upload and import the customers

  1. Click Choose CSV and select your filled customer file.

    Choose a customer CSV file

  2. Click Continue.

Continue with two customers in the file

Map fields pairs each CSV column with a YoPrint field. Check the Preview values, especially Customer Name and Tax Exempt. The current template’s headers match automatically. If a header is unmatched or misspelled, select the matching column from the dropdown, or choose Skipped to unmap a field. Customer Name and Tax Exempt must stay mapped. If a required column cannot be mapped, follow Troubleshoot CSV Import Errors.

  1. Click Review rows.

    Review the mapped customer columns

Check customer details in Review rows. Scroll right across the table to find the Status column, where new records show Ready. In large files, use the search box or filter rows by status to locate specific customers. If rows show errors, see Troubleshoot CSV Import Errors.

  1. Click Review.

    Review the two new customers

  2. Click Import 2 customers. The count reflects the customers in your file that are ready to import.

    Confirm the customer import

Import complete shows how many customers were imported. Click Done to close the summary. Switch back to your YoPrint browser tab, or click Back to YoPrint at the top right of the portal. In YoPrint, click Refresh above the table to display your newly imported customers.

When customers already exist

YoPrint checks the customer name for a match. Review the CSV RECORD and YOPRINT MATCH shown in Some records already exist. Matching customers marked Already exists are skipped and the saved records are left unchanged.

Customer CSV import only adds new customers. It does not update existing customer records in YoPrint. To edit an existing customer, follow Add and Manage Customer Records.

To import only the remaining customers, click Continue without these records.

Continue while leaving existing customer records unchanged

The next confirmation shows counts for customers to import and those to skip. Confirm the import when those counts are correct. If every row already exists or needs a correction, Nothing can be imported appears instead. Click Back to review to inspect your rows, or click Close to return to the review screen. To exit the importer without saving, click Cancel and select Discard import.

The message when no customer rows remain to import

Change a customer name in your CSV only when it belongs to a separate customer.

If the result says Partial import completed, check Records not imported for each row’s issue. Correct only the rows you still want to add, then upload the corrected file. Keep the original file until you have checked the result.
